Privacy Notice in accordance with GDPR
kAleiDoscope – Coaching & Counseling | Anja Dittmeier, M.A., PCC
This document informs you as a client about how your personal data is handled and your rights in the context of working with kAleiDoscope – Coaching & Counseling, Anja Dittmeier. It summarizes the data protection and confidentiality provisions from the Framework Agreement (Terms and Conditions, effective January 2026).
1. Professional Secrecy and Confidentiality
Psychotherapy sessions are subject to professional secrecy (Schweigepflicht) as required by German law. All other services (coaching, counseling, couples counseling) are treated with absolute confidentiality.
The disclosure of information to insurance providers, physicians, family members, or any other individuals requires your express written waiver of professional secrecy or confidentiality. A separate form titled "Waiver of Professional Secrecy/Confidentiality" is available for this purpose.
In exceptional cases, confidentiality may be breached in accordance with legal, compliance, and ethical requirements, e.g., to prevent potential harm to individuals, the client, or society in general.
2. Confidentiality in Video Conferences
Video conferences may entail potential risks with respect to professional secrecy and confidentiality. Therefore, the following applies:
- Professional secrecy and confidentiality also extend to video conferences.
- No one will record the session without express written permission.
- All parties agree to the use of the selected video conferencing platform: Zoom (Zoom Pro Account, end-to-end encrypted, GDPR-compliant settings with data stored on servers in the EU / EU Data Center).
- The client ensures that during the session they are in a quiet, private, undisturbed space and do not use public or free Wi-Fi connections.
3. Data Collection and Processing

Personal data collected during registration is stored and processed electronically. Data is processed on the basis of Article 6(1)(f) GDPR and used exclusively for the following purposes:
- Contract performance and administration
- Client communication and appointment management
- Administrative purposes (e.g., invoicing via FastBill)
Data is not disclosed to third parties. Under no circumstances is collected data used to draw conclusions about the individual.
After collection, data is stored only for as long as is necessary in compliance with pre-contractual, contractual, and statutory retention periods.
The client consents to being identified by name. Consent given for the processing of data may be withdrawn at any time with future effect. The lawfulness of data processing carried out on the basis of consent prior to its withdrawal remains unaffected.
4. Your Rights under GDPR
As a data subject, you have the following rights with respect to Ms. Dittmeier:
Right of Access (Art. 15 GDPR)
You have the right to request information about the personal data being processed, including the purposes of processing, categories of data, recipients, planned storage period, and the origin of the data.
Right to Rectification (Art. 16 GDPR)
You have the right to request the immediate rectification of inaccurate personal data or the completion of incomplete personal data.
Right to Erasure (Art. 17 GDPR)
You have the right to request the erasure of your stored data, unless processing is necessary to fulfill a legal obligation, for the exercise of the right to freedom of expression, for reasons of public interest, or to assert legal claims.
Right to Restriction of Processing (Art. 18 GDPR)
You have the right to request the restriction of processing where the accuracy of the data is contested, the processing is unlawful but erasure is refused, or the data is no longer needed.
Right to Data Portability (Art. 20 GDPR)
You have the right to receive your personal data in a structured, commonly used, and machine-readable format, or to request its transmission to another controller.
Right to Withdraw Consent (Art. 7(3) GDPR)
Consent given for the processing of data may be withdrawn at any time with future effect. Withdrawals should be addressed to Ms. Dittmeier at contact@kaleidoscope-berlin.com.
Right to Lodge a Complaint (Art. 77 GDPR)
You have the right to lodge a complaint with a data protection supervisory authority. The competent authority for Berlin is the Berlin Commissioner for Data Protection and Freedom of Information (Berliner Beauftragte für Datenschutz und Informationsfreiheit).
5. Data Disclosure to the ICF
As an ICF-certified coach, Ms. Dittmeier is required to verify completed coaching sessions for additional certifications within the ICF (International Coaching Federation). This process involves the confidential disclosure of the following contact details to the ICF:
- Client name
- Duration of coaching
- Email address
The content of coaching sessions will not be disclosed to the ICF or any third party at any time. By signing or accepting the Terms and Conditions, you agree to this data disclosure. This also applies to coaching sessions that took place prior to signing the Terms and Conditions.
